Events Manager

Events Manager will be required to work closely with all ICs and SubComs and be responsible for

• Stage management at performance venues
• Coordinate Logistics, Lights/Sound, equipment and crew at all events
• Organizing volunteers during events
• Organising transport for performers
• Organising and supervising backstage issues
• Liaising with Festival Committee and SIFAS Administration teams on logistics related issues;
• Organising video and photography at Alumni events
• Coordinating with Publicity IC and Vice President to organise social events for Alumni
• Coordinating with Editor and Publicity IC to organising photography at SIFAS events (where necessary)

Editor

Editor


• Working closely with the Publicity IC and Secretary to provide updates on a regular basis to members
• Manage the Blog and ensure regular posting of articles
• Coordinate with Publicity IC to manage the Blog and Facebook page

• Responsible for

o the quarterly SIFAS POST publication
o the Blog
o increasing readership of the Alumni mass communication mediums
o sourcing articles for publication
o organising Alumni to submit articles reviewing SIFAS performances
o coordinating with Publicity IC to ensure attendance by Alumni at all major SIFAS performances and submission of articles on those performances
o sourcing and publishing photographs and articles from these performances
o Organising interviews with Artistes/ Alumni/ Teachers and publishing these articles

• To act on behalf of the Secretary (when necessary)
• Assist the Secretary to take minutes during meetings
• To coordinate with Publicity IC to collate and publish Election statements

Publicity In Charge

Publicity IC


• Working closely with the Editor and Secretary to provide updates on a regular basis to members
• Manage the Facebook Group and ensure regular updating of articles and pictures
• Recruitment
• Coordinate with Editor to manage the Blog and Facebook page and also encourage Alumni attendance at SIFAS events.
• Coordinate with Vice President, Music and Dance ICs on Alumni welfare issues
• Coordinate with Events manager to organise Alumni social events

• Responsible for

o Facebook account
o All other social networking mediums on behalf of the Alumni
o All publicity related matters with regard to Alumni activities and projects
o Supervision of all sponsorship appeals, fundraising activities and grant appeal letters
o Recruitment and supporting the Secretary with Database management
o Organising social events and managing Alumni welfare
o Collating and publishing Election statements

• Assist the Treasurer with ticket sales and fundraising matters

• To work together with the Vice President on liaising with
o Organizations such as the National Heritage Board, National Arts Council..
o local Arts centres
o foreign based Indian arts centres
o Media Corporation of Singapore
o the SIFAS festival committee

Music In Charge

Music IC

• Responsible for all music related issues
• Represent and look after the interests and welfare of all Music Alumni
• Supervise and coordinate with the Music Chairs on the SubCom
• Recruit Music Alumni to the Alumni and the Music SubCom
• Organise and book rehearsals
• Prepare and submit proposals for Music related projects to the Committee
• Prepare and present proposals for Music related events, productions and CLPs

• Liaise
o between the Music SubCom and the Committee
o with SIFAS Administration on music related issues;
o with Alumni on proposals for productions and provide regular updates Coordinate with Dance IC to organise and meet their requirements for musicians to support dance events;
o between the Alumni and the teachers.

• Supervise rehearsals of Music Alumni together with the Music Chairs
• Coordinate with President and Vice President to canvass for Music Related programs
• Coordinate with Publicity IC for Music Events and on member welfare

Dance In Charge

The Dance IC

• Responsible for all Dance related issues
• Represent and look after the interests and welfare of all Dance Alumni
• Supervise and coordinate with the members on the Dance Sub com
• Recruit Dance Alumni to the Alumni and the Dance SubCom
• Organise and book rehearsals
• Prepare and submit proposals for Dance related projects to the Committee
• Prepare and submit proposals for Dance related workshops and classes

• Liaise
o between the Dance SubCom and the Committee;
o with SIFAS Administration on Dance related issues;
o with Alumni on proposals for productions and provide regular updates
o Coordinate with Music IC to organise and meet requirements for musicians to support dance events; and
o between the Alumni and the teachers.

• Supervise rehearsals of Dance Alumni
• Coordinate with President and Vice President to canvass for Dance Related programs
• Coordinate with Publicity IC for Dance Events and member welfare
• Prepare and present proposals for Dance related events, productions and CLPs
• Work closely with Music IC to propose and present combine projects

Treasurer(s)

Treasurer

• Management of Alumni funds
• Management of Fund Raising activities
• Report to President on a regular basis
• Obtain President’s approval for incurred disbursements over $150.00.
• Coordinate with Vice President on fundraising activities
• Coordinate with Publicity IC on fundraising and ticket sales
• Liaise with Committee on their budget requirements
• Source for Alumni fund raising opportunities
• Management of database of Alumni and/or SIFAS sponsors
• Preparation and Management of Applications for Sponsorship

• Maintain accurate and up to-date records of Alumni Statement of Accounts

o To collate all invoices/ receipts
o All receipts for reimbursements will be submitted to the treasurer
o To ensure that proper records of all financial transactions are maintained and update the President, Vice President and Secretary on a regular basis

• Supervise alumni ticket sales See Annex C for details on Alumni Ticket Sale Procedure

• Prepare and present

o Statement of Account to MC Finance on an annual basis or as required
o Statement of Accounts at AGM ( if required)
o Budget proposals for projects to President

• Liaising with the President and/or Vice President on administrative matters
• Coordinate with the Vice President on Recruitment, Publicity and Editorial matters

• Supervise and Coordinate with the Editor on Administrative duties and dissemination of information to members
• Aid president in drafting agenda for monthly and other meetings
• Circulate meeting agenda to Committee (via email)
• Prepare agenda and minutes for all meetings
o Committee monthly meetings
o Annual general meetings
o Extra-ordinary general meetings
o Special meetings
• Disseminate (via email) minutes to meeting

• Responsible for

o SIFAS email account
o Management of applications and appeals for membership
o Preparation and sending out of Invitations to Participants
o Alumni membership Database
o All communications between the Committee and its members
o All record taking at meetings and timely dissemination of information to Committee, SubComs and/or members (where relevant)

• Ensure that all records during Period are well documented and safely stored in a secure location.
• Prepare necessary material for Elections and supervise smooth handover

Vice President

• To coordinate with the President and act on behalf of President during his/her absence
• To coordinate with the Secretary and Treasurer (together with the President)
• To coordinate with the Dance and Music ICs on Major Projects
• To supervise and coordinate with the Editor and Publicity IC and their SubComs
• To supervise and coordinate with the Events Manager and his/ her SubCom
• To supervise and coordinate with the Publicity IC on welfare matters


• Develop and maintain a relationship on behalf of the Alumni with members from

o organizations such as the National Heritage Board, National Arts Council..
o local Arts centres
o foreign based Indian arts centres
o Media Corporation of Singapore
o the SIFAS festival committee

• Responsible for

o Driving recruitment of members;
o Fundraising activities
o Publicity of the Alumni
o Increasing readership of the Alumni’s mass communication mediums
o Sourcing new performance opportunities
o Supervising the Facebook page and Blog

• To coordinate with the President in supervising the Alumni’s annual performance at the Festival

President

President


• To represent the Alumni’s interests and liaise between the MC and the Alumni
• To supervise and coordinate with the Vice President, Secretary and Treasurer
• To supervise and coordinate with the Dance and Music ICs and their SubComs
• To coordinate with the SIFAS Administration on behalf of the Alumni
• To liaise with MC for Alumni’s budget requirements
• To take decisions on behalf of the Committee in circumstances not limited to those anticipated in the Constitution
• To source and create performance opportunities for the Alumni members
• To source and create CLP opportunities for the Alumni members

• Responsible for ensuring that:-

o the Alumni meets its Objectives as set out in the Constitution;
o the recruitment of Alumni members is carried out on a regular basis;
o the Committee remains active and committed to meeting its annual targets;
o Work closely with VP and represent on behalf during his/her absence;
o The Alumni fosters a good relationship with SIFAS and the other Fine Arts institutions;
o The Alumni sources and maintains a relationship with its foreign Alumni;
o Deadlines for Projects are met; and
o Fundraising efforts are adopted.

Alumni Sub Committees

Dear Alumni,

You will be pleased to know that further to the election of the Alumni Committee, we are also forming sub- committees for these following groups:

Music
Dance
Publicity
Logistics (under the Events manager); and
Communications/Editorial (under the Editor).

These sub-committees are created in anticipation of productions lined up for the next year. Each IC on the Committee will act as a representative of these sub-committee and liase between the Committee and the respective sub-committees. We invite all members to volunteer for those sub-committees of their interest. This is on an entirely voluntary basis and you would be working closely with the Committee and members.

Update: The Music Sub-Committee is almost formed and we intend to have three music-chairs on the music sub-committee, for vocal, instruments and percussion.

We are proud to present our three music chairs:

Mrs Premalatha Naidu will be our Music-Chair (Vocal);
Mr V Rajandra will be our Music-Chair (Instruments); and
Mr Thulasi Das will be our Music-Chair (Percussion).

We thank them in advance and look forward to working together under their guidance.

Budding Alumni Writers

Dear Alumni and friends,

As you all know, the Alumni recently performed at this year's SIFAS Music and Dance festival on 19 March 2011, Saturday.

We are pleased to invite those who attended the event to submit an article reviewing the performance. Naturally, we would require these articles to be from objective and therefore from someone who didnt perform that night.

The shortlisted review will be printed in the upcoming SIFAS post while the other reviews will be posted on our Blog.

We look forward to hearing from you soon. The deadline for articles is Friday 20 April 2011.

Elections: Alumni Committee - 28th May 2011

The SIFAS Alumni Committee elections are scheduled to take place at the Aurobindo Room, SIFAS on 28 May 2011, Saturday at 5 pm.


The positions available are as follows:

President
Vice President
Treasurer
Secretary
Music IC
Dance IC
Events manager
Publicity IC
Editor

If you wish to become elected as an Alumni Committee member, please take note of the following:-


1. You would need to be registered as an Alumni Member before being nominated for a position.

2. At the election, you would need to be proposed/nominated for a Position on the Alumni Committee by an Alumni member and then also seconded by an Alumni member
.
3. Once nominated and seconded, you will be then be invited to present a short statement of your contributions to SIFAS and/or the Alumni todate and what your vision for the ALUMNI is. This would enable those voting to make an informed decision. Please do come prepared.

We would be grateful if you would kindly RSVP your attendance by 26 May 2011 latest to sifasalumni@gmail.com

If you are currently not a member, please complete the membership application form and leave it at the SIFAS office. Alternatively, you may wish to email us a scanned copy of the form (signed on both sides) to sifasalumni@blogspot.com. Please pass the message to your other SIFAS Alumni friends as well. Do also let us know if you wish to contest at the elections and which position you are interested in.
